GUIDE / CUSTOM AI DEVELOPMENT COST

What custom AI development costs, and why.

The cost of a custom AI or software project comes down to a handful of factors. This guide explains each one, walks through three example projects, and lists what we need to give you an accurate quote.

WHAT CHANGES THE COST

Eight factors set the budget.

  1. 01

    Scope

The number of workflows, user roles, screens, and reports in the first release. The largest single driver.

  2. 02

    Integrations

Each connected system (CRM, task tool, phone provider, storage, database) adds build, testing, and maintenance work.

  3. 03

    Data quality

Clean, consistent data is faster to work with. Scanned files, inconsistent formats, or missing fields add extraction and cleanup work.

  4. 04

    Permissions

Multiple roles, external users, approval steps, and audit requirements add design and testing time.

  5. 05

    Testing

Systems that make or support decisions need more scenario testing, edge cases, and acceptance time.

  6. 06

    Hosting

Cloud hosting, databases, and storage are ongoing monthly costs, usually billed by the provider to the client’s account.

  7. 07

    AI model usage

AI features are billed per use by the model provider. Cost grows with document volume, call minutes, and model choice.

  8. 08

    Support

Monitoring, maintenance, and improvements after launch are agreed separately from the initial build.

THREE EXAMPLE PROJECTS

Typical shapes of work.

Estimates and assumptions are labeled. Each budget range is confirmed during scoping and stated in the written proposal. Ongoing costs are listed separately from the build.

EXAMPLE 01

Workflow automation between existing systems

Connect a document or form intake to a CRM and task tool, with a review queue for exceptions.

Budget range
Estimate confirmed during scoping
Included
  • Intake and data extraction
  • Sync to one CRM and one task tool
  • Exception queue for a person
  • Error alerts and a sync log
Not included
  • Replacing the CRM or task tool
  • Data cleanup of historical records
  • Custom reporting beyond the agreed views
Ongoing costs
  • Hosting and database
  • AI model usage per document
  • Optional support plan
Assumption
Assumes the existing tools have usable APIs and one team owns the workflow.
EXAMPLE 02

AI voice agent with CRM sync

An inbound or outbound call agent with transcripts, outcomes, follow-up tasks, and CRM sync.

Budget range
Estimate confirmed during scoping
Included
  • Call script and qualification flow
  • Phone number connection
  • Transcripts, summaries, and outcomes
  • CRM sync and follow-up queue
  • Campaign and scheduled calls
Not included
  • Telephony contracts and number porting
  • Legal review of call scripts
  • Sales or support staffing
Ongoing costs
  • Voice platform and per-minute call costs
  • Phone numbers
  • Hosting
  • Optional support plan
Assumption
Assumes one call script per use case and a CRM with an available API.
EXAMPLE 03

Custom operating platform

A multi-role system for a document-heavy process, such as diligence or case review, with reporting.

Budget range
Estimate confirmed during scoping
Included
  • Project pipeline and records
  • Secure external upload portal
  • Document classification and rule-based checks
  • Analyst review and audit log
  • Dashboards and report inputs
  • Two to three integrations
Not included
  • Migration of historical archives unless scoped
  • Rules the client has not defined
  • Regulatory or legal sign-off
Ongoing costs
  • Hosting, database, and file storage
  • AI model usage per document
  • Support and improvements
Assumption
Assumes the client provides its review checklist and sample documents for each document type.

FOR AN ACCURATE QUOTE

What to bring to a scoping conversation.

  • The workflow you want to change, step by step, and who does each step
  • The systems involved and whether they have APIs or exports
  • Sample documents, records, or call recordings (redacted is fine)
  • Who will use the system, and their roles and permissions
  • Volume: documents, calls, or records per month
  • Timeline, budget constraints, and who approves the work
